HR Administrative Assistant

POSITION SUMMARY:

The Human Resources Administrative Assistant provides essential support to the HR department, ensuring smooth and efficient operation of day-to-day administrative tasks.  This role assists with maintaining employee records, processing documentation, coordinating meetings and trainings, and supporting recruitment and onboarding efforts.  This role will provide backup to payroll processing.  This position will represent ABH® and its services in a positive and professional manner and adhere to ABH®’s best practices, guidelines, policies and procedures as established, promoting ABH® as a leader in behavioral healthcare in all interactions and work.

DUTIES AND RESPONSIBILITIES: 

§  Payroll - ADP Portal

·       Assist in processing bi-weekly payroll which includes;

o   Processing manual checks and third party sick payments;

o   Monitoring exceptions; pending time card approvals (employee and supervisor); verify time off accruals; total hours, mileage, etc.;

o   Process changes; rates, department changes, transfers, reduced hours;

o   Execute and administer wage garnishments and child support orders;

§  Human Resource Functions  - ADP Portal

·       Assist in maintaining employee Human Resources Information System (HRIS) database;

·       Assist in maintain Resources Page (Forms/Policies);

·       Assist in monitoring ADP recruiting module;

o   Posting job requisitions;

o   Release Applicants Resumes to Hiring Manager;

o   Hire Applicant through recruitment portal;

·       Creates Reports in HRIS database; EEO1, 401k, new hire, terms, etc.

§  Human Resource Functions:

·       Create Offer, transfer, promotion and hour change letters;

·       Maintain strict confidentiality and handle sensitive information appropriately;

·       Assist in maintaining new hire requisitions;

·       Post open positions internally and externally;

·       Assist with new hire on-boarding for employees;

·       Assist employees with interpretation of Human Resources policies and procedures;

·       Promote Solutions Employee/Family Assistance Program;

·       Distribute and track exit interview paperwork;

·       Assist in coordinating employee events; summer outing and holiday party;

·       Assist CPO and HR Specialist with various Human Resources projects; prepare reports and documents as needed;

·       Maintain employee personnel and medical files;

·       Maintains confidentiality of all client protected health information and adheres to all HIPAA related policies and  procedures;

·       Demonstrated ethical behavior and cultural sensitivity in all activities involving individuals of diverse backgrounds;

·       Performs other tasks/responsibilities as required to support the business operations.

EDUCATION AND EXPERIENCE REQUIREMENTS:

·       An Associates degree and 2+ years HR experience or equivalent combination of education and experience;

·       Demonstrated experience ADP Workforcenow Payroll Portal and HRIS solution preferred;

KNOWLEDGE/SKILLS/ABILITIES:

·       Strong organizational skills;

·       Demonstrated problem solving and resolution skills;

·       Strong interpersonal skills essential to effectively communicate with employees especially in potentially stressful situations;

·       Demonstrated ability to work on multiple tasks and meet deadlines;

·       Excellent PC skills with demonstrated experience using Microsoft Office Package (MS Word, Excel, some Power Point, Outlook); internet;

·       Strong written and verbal communication skills required.
