Quality Control Coordinator

POSITION SUMMARY:

The Quality Control Coordinator (QCC) will work closely with the Dispatchers, Schedulers, Program Assistances, and Management.  The QCC is responsible for reviewing materials submitted to the SOOT program from DCF, Foster Parents and Transportation Providers. The QCC will be responsible for reviewing multiple aspects of Routing Box software in completing quality checks as assigned. The QCC will work through our Call Log system to ensure the data in Routing Box matches the information processed by the Dispatchers, Schedulers and Program Assistances.  If any errors are identified the QCC will return the Call Log to the editor for revisions.  The QCC will have to report any continuing quality issues that arise with staff.  The QCC will gain knowledge on when to escalate any urgent matters or complaints to Management.  The QCC must have the ability to communicate via email, phone, and direct in a clear and comprehensive manner.  The QCC must possess the ability to pay close attention to detail.  This position will represent ABH® and its services in a positive and professional manner and adhere to ABH®’s best practices, guidelines, policies and procedures as established, promoting ABH® as a leader in behavioral healthcare in all interactions and work.

DUTIES AND RESPONSIBILITIES:

  • Review new referrals entered for accuracy and completion
  • In RB trip viewer, review month(s) at a time to identify any wrong runs
  • Review Tracker audit by week (day if necessary) by company and location proximity
  • Check rejects throughout the day and at the end of each day
  • Ensure trips are assigned promptly and accurately;
  • Review run assignments to ensure match company
  • QA and close out call log calls
  • Check sync between ABH RB and provider RB daily
  • Review ABH assigned to ensure still unassigned and run isn’t missing
  • Communicate with Management as needed to maximize efficiencies and resolve issues;
  • Prepare reports on all activities occurring during their shifts;
  • Learning and mastering our transportation scheduling software system (Routing Box)
  • Assist with maintaining updated school schedules, look up calendars, update spreadsheet, make changes in Routing Box
  • Maintains confidentiality of all client protected health information and adheres to all HIPAA related reviews, goal setting, etc;
  • Learning our phone and network system (8x8)
  • Demonstrates ethical behavior and cultural sensitivity in all activities involving individuals of diverse backgrounds;
  • Performs other tasks/responsibilities as required to support the business operations.
  • Run weekly reports summarizing contract deliverables and services for stakeholders.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • Bachelor’s Degree or combination of experience & education;
  • Customer service experience
  • High proficiency in use of Microsoft Office (Outlook, Excel, Word)

KNOWLEDGE/SKILLS/ABILITIES:

  • Demonstrated planning and organizational skills;
  • Learning and mastering our transportation scheduling software system (Routing Box);
  • Learning our phone and network system (8x8)
  • Ability to handle multiple tasks simultaneously in a fast-paced high pressure situations with confidence & a positive attitude environment;
  • Cultural competency;
  • Strong attention to detail; ability to work on multiple tasks and meet deadlines;
  • Excellent PC skills with demonstrated experience using Microsoft Office Package (MS Word, Excel, Power Point, Access, Outlook), internet and dispatch software preferred;
